Migration of On-premises Email Anti-spam Tool to O365

by by Henry Wong

With all staff mailboxes migrated to Office 365 (O365), the migration of on-premises email supporting tools is underway. One significant upgrade is the migration of on-premises email anti-spam tool to the O365 Exchange Online Protection (EOP) cloud-hosted email filtering service. The migration has been completed on 18 May 2016, and was entirely transparent to users.

O365 EOP uses many advanced filtering techniques to filter or block spam/junk email based on: the content, header, language of the message; URLs referenced in the message; attachments; and other criteria. In addition, EOP provides different controls for spam filtering, such as bulk mail controls and international spam, to further fine-tune the user protection. It also provides comprehensive malware and virus filtering, using several different industry-leading anti-virus (AV) engines.

Since the junk mail filtering technique and the anti-spam policies in O365 EOP are very different from the anti-spam tool that was previously used on our on-premises email system, after the migration you may find some legitimate email being filtered to your “Junk Email” Folder, or some suspected junk email being sent to your “Inbox”. Hence, you are strongly recommended to check your “Junk Email” folder more often after 18 May 2016, at least during the first few weeks. If you notice incorrect spam/junk mail filtering, to resolve the former situation, you can add the legitimate senders to your “Safe Senders” list so that email from them will always go to your “Inbox”. To resolve the latter situation, you can add the malicious senders to your “Blocked Senders” list so that email from them will always go to your “Junk Email” Folder.
